How to Setup Email in Outlook (cPanel Email)

This guide shows you how to set up your cPanel email account in Microsoft Outlook. This allows you to send and receive emails directly from your desktop or mobile device.

Email Settings You’ll Need

Before setting up your email, you’ll need the following details from your hosting account.

Email Address

Your full email address (e.g. info@yourdomain.com).

Password

The password you created in cPanel.

Incoming Server (IMAP)

Usually mail.yourdomain.com (Port 993, SSL).

Outgoing Server (SMTP)

Usually mail.yourdomain.com (Port 465, SSL).

Requires Authentication: Yes

Which Server Should You Use?

In most cases, you can use mail.yourdomain.com as your incoming and outgoing mail server.

Standard Setup (Recommended)

Use mail.yourdomain.com for both IMAP and SMTP.

This works if your domain is correctly connected to your hosting account.

Alternative: Server Hostname

If mail.yourdomain.com does not work, use your server hostname instead.

You can find this in your new account welcome email.

Common Issue: Mail Server Not Connecting

If Outlook cannot connect using mail.yourdomain.com, your DNS may not be set correctly.

  • Use your server hostname, or
  • Add an A record for "mail" pointing to your server IP

Step-by-Step Instructions

Step 1: Open Outlook

Launch Microsoft Outlook on your device.

Step 2: Add Account

Go to File → Add Account.

Step 3: Enter Email Address

Type your email address and click Connect.

Step 4: Choose IMAP

Select IMAP for better syncing across devices.

Step 5: Enter Server Settings

Enter your incoming and outgoing server details.

Important: Enable "My outgoing server (SMTP) requires authentication" and use the same settings as your incoming mail server.

Step 6: Finish Setup

Click Next and complete the setup.

IMAP (Recommended)

Syncs emails across all devices.

POP3

Downloads emails to one device only.

Common Issues & Fixes

Authentication Failed

Check your email address and password are correct.

Cannot Connect to Server

Verify server names and ports are correct. Try using your server hostname if mail.yourdomain.com fails.

Emails Not Sending

Ensure SMTP authentication is enabled. Go to More Settings → Outgoing Server and check "My outgoing server (SMTP) requires authentication".

Port Issues (Older Outlook)

If Port 465 (SSL) does not work, try:

  • Port 587
  • Encryption: TLS / STARTTLS

Mail Server Not Working

Check DNS settings and ensure a mail A record exists pointing to your server IP.
